One screen to add
Supplies and returns are added on a single screen, «Добавить поставки и возвраты» (Add supplies and returns): a drop zone in the middle and, next to it, a button to start blank. You can drop a supplier document or enter a receipt by hand — depending on what you have. The MyProfit interface is in Russian, so on-screen labels are shown here in quotes.
From a supplier PDF
- Drop the supplier’s PDF into the drop zone.
- MyProfit parses the document and fills the rows into the editor.
- Match the rows to your articles in the «Артикул» (Article) column — where the supplier name isn’t yet linked to your product (see matching supplier names). The name from the document stays in the «Наименование» (Name) column.
- Click create — the receipt appears in the transfers list.
If one supplier row corresponds to several of your articles (a bundle or set), click «Разделить на несколько артикулов» (Split into several articles) on the row: a child row «↳» appears below it. The quantity is shared between the rows — whatever you enter in the child is taken out of the parent. The parent row shows the unallocated remainder and never goes negative: the child can’t take more than the parent has left.
From Excel
The fastest way is to fill in MyProfit’s ready-made template:
- Click «Скачать шаблон» (Download template) next to the drop zone.
- Enter your rows into the ready-made columns (name, article, quantity, price) and save the file.
- Upload it back — MyProfit recognizes the template by its headers and opens the editor right away, with no column-mapping step.
If you have an arbitrary Excel file (for example, an export from your supplier):
- Upload the file.
- A column-mapping step opens — you say which column is the name, which is the article, which is the quantity, which is the price.
- The mapping is remembered per user, so the step is faster next time.
Manual
Click start blank, pick the supplier, and type the rows yourself. Use this when there’s no document file.
Picking an article in a row
In every document row the article is chosen through a search dropdown: type the article code, the name, or a barcode.
If a product has many variants — colours, sizes — type the shared part of the code. The list loads more as you scroll, so you can reach any variant, however many are filed under one code.
Products you have already received from this supplier sit at the top of the list under the «С этим поставщиком» (With this supplier) heading; below, under «Недавние» (Recent), come the rest of the catalog’s articles. When variants differ by a single letter in the code, start with the top group.
If the article wasn’t filled in
An empty «Артикул» doesn’t always mean the supplier name is new. Matching runs when the file is uploaded and isn’t recomputed on its own afterwards, so a row also stays empty in two other cases:
- you linked that supplier name to an article after uploading the document;
- the article the row pointed to was deleted from your catalog — while clearing out duplicates, for example.
Rather than going through the documents again, click «Подобрать артикулы» (Match articles). The button sits in the yellow bar that counts rows with no article and covers every uploaded document at once; the same button is in an individual card’s header when you only need to refresh one document. MyProfit reports how many articles it managed to fill and how many empty rows it cleared away.
Matching is cautious:
- only empty «Артикул» cells are filled — one you picked by hand is never overwritten;
- no row is added or reordered — quantities and prices stay as they were;
- the same article is never placed twice in one group of split rows.
If deleting articles has left a group with more «↳» rows than the name has articles linked, nothing can fill the extras any more. Matching clears them away for you — but only the ones that are certainly spare: empty, with no quantity, created when the file was uploaded, and only while a row with an article remains in the group.
Anything that might still be of use is left alone:
- a row that has a quantity, even if its article is gone. Give it the right article: that quantity is stock you received, and MyProfit will not delete it;
- the first row of a group — the one the «↳» rows sit under;
- a row you added yourself with «Разделить на несколько артикулов» (Split into several articles);
- rows in a group where no article was filled at all — that is an ordinary unmatched item for you to sort out by hand.
Return to a supplier
If you are returning goods to a supplier, it is recorded with the same document, but in the opposite direction:
- Upload a credit note (a счёт-фактура with a negative «Итого»/total) — MyProfit recognizes it as a return automatically.
- The direction of any uploaded session can be set with the «Поставка / Возврат» (Supply / Return) switch right after the supplier field. When you choose «Возврат» (Return), the warehouse field reads «Склад отгрузки» (Shipping warehouse) — the one the goods leave from toward the supplier.
- A return is document-backed just like a supply: to fix it, delete the document and record it again.
- On create, return rows may show advisory notes — «Закупка по цене … не найдена» (No purchase at price … found) or «Закупок для списания нет» (No purchases to draw from). These are hints, not errors: they never block creation — the draw comes from the oldest lots or stops at zero.
Internal moves and corrections
Not everything that changes stock comes from a supplier. The «Приход/расход» (Receipts/issues) tab has a «Добавить перемещение / корректировку» (Add move / correction) button, which opens a window with two kinds of record:
- Перемещение (Move) — warehouse to warehouse: you pick where from and where to, the date, and the lines with quantities. You can move between any two of your warehouses except the Uzum mirror (a warehouse assigned the mirror role double-books marketplace data, so it isn’t offered for manual entry). One warehouse’s stock goes down, the other’s goes up.
- Корректировка (Correction) — an entry on a single warehouse of yours (except the Uzum mirror), with no supplier: an opening balance (positive quantity) or a write-off (negative). This is how you record what no invoice backs: the stock you had when you started using MyProfit, defects, a shortfall found during a stock count.
A positive correction line can carry a unit price — then those units enter the cost-of-goods calculation exactly like invoice lines. Without a price the balance is fixed, but the cost of those units stays estimated.
Every correction must state a reason — a short note in the «Причина» (Reason) field (opening balance, recount, defect, and so on). A correction can’t be saved or posted without one, so the history always shows why stock was adjusted by hand. On a move this field is called «Комментарий» (Comment) and stays optional.
The operation date is when the movement actually happened; you can back-date it and MyProfit recomputes the history from that date. The record can be saved as a draft or saved and posted right away.
Duplicate handling
If a document was already imported, MyProfit shows «Already imported on [date]» and won’t let you import it again. If the new version is the one to keep (for example, the supplier re-issued the document), click «Удалить прежний импорт» (Delete the previous import) on the duplicate card: the earlier import is removed along with the stock it added, the marker clears, and the card becomes creatable. Re-issuing the document with a new ID on the supplier’s side still works too, but is rarely needed now.
Draft vs applied
A created transfer starts as a draft: you can edit and delete it, and it doesn’t affect stock yet. Once you apply it, stock changes. An applied receipt (supply or return) can’t be edited directly, but it can be deleted (from the transfers list — together with its document) and, if needed, re-imported in a corrected version; that’s how edits are made.
Internal moves and corrections are backed by no document, so they stay fluid after posting too. The row menu has «Распровести» (Unpost): the record goes back to draft and stops affecting stock, after which you can edit it and post it again. You can also just delete it, without unposting first. Stock and cost of goods are recomputed after each of these actions.
An unfinished add session auto-saves — you can close the page and come back to it later without losing what you entered. The «Unfinished imports» list shows drafts only for the seller selected at the top of the screen: if you run several sellers, switch to the right one first and its unfinished imports appear in the list.
Supplier documents are also kept in a separate registry — with their IDs, dates, and statuses; a detailed article on that comes later.
